The ultimate online administrative tool

Google Workspace is an online platform comprising of multiple apps that cater for all your administrative needs. We use Google Workspace at COS and it’s revolutionised the way we work. You’ve probably heard of at least some of the apps, which can be used independently without a Google Workspace membership, but the benefits of using them together in a platform has streamlined our processes.

    Voice

    This is our phone system. Most of the team have an app downloaded on their phones so they can make and receive calls. Although it may look as though we are calling from a landline, we are in fact calling from our laptops or smartphones.

    Calendar

    Staff can easily view others’ diaries so they know availability. Appointments can be made readily and our HR software (Breathe) integrates with it to include our holidays as do many other software. We were able to replace our online appointment booking system with Google Schedule which fully integrates with staff calendars and provides all the functionality you would expect including the ability to take payments.

    Chat

    Chat can be likened to WhatsApp or Facebook Messenger. Staff can send instant messages to other team members privately or within group chats. You can program it to only notify you of messages during your working hours. If someone is in a meeting or on holiday it lets you know before you even send the message.

    Drive

    We used to store our documents in Dropbox but thanks to Drive we can store our documents and very easily share them with other colleagues. Everyone gets their own “personal” drive that only they can see. We have a separate “shared drive” that we all access. Different staff members can have different levels of access too and we can quickly and easily add and remove access should staff join or leave. It’s like having your own server in the cloud.

    Meet

    Thanks to Meet, we don’t have to have a subscription to Zoom anymore as it’s part of our package. When we make a calendar event it will auto generate a Google Meet for us if we so wish. So there’s no need to worry about creating a separate video call link and sending it to a client.

    Sheets and Docs

    These are Google’s answer to Word and Excel, the bonus being they connect seamlessly within all the other applications in the Google Workspace world. So you can easily add documents to Gmail and they automatically save in Drive. Word and Excel documents can be opened in Docs and Sheets, and you can create Word and Excel documents from Docs and Sheets too.
