Cloud Accounting is a way to store all of your accounts in a safe place on the internet. You can access your accounts anywhere with an internet connection. This doesn't mean just anyone can access them, they are password protected and are not publically accessible. "The Cloud" is a term that is used to describe the internet, particularly when talking about storing things. Essentially it's like being able to carry all the files in your office in a giant safe and being able to look at them whenever you like. It not only helps the environment (because you don't have to print nearly as much) but it helps you to forecast easier, pay people easier and much more. You can read more about this in our blog. There are multiple ways you can learn how to use Xero. First things first, you need a Xero trial. This is something we can assist you with if you're not sure what to do. The brilliant part of the trial is that it contains demo data so you can't "break it" or "mess up" because it doesn't matter. The next stage we would recommend is to undertake training. It's one thing to learn how it works but if you don't understand why something goes where it does it can cause you problems before you've even properly begun. We have a range of courses available that cover everything you need. We can also provide 1-2-1 training at the location of your choice or over Skype. Xero also have a range of videos on their website and they have their own accreditation programme. Please do be wary that being Xero Accredited does not necessarily give you all the practical skills you need.

The best way to describe this relationship is to compare it to cake. Bookkeepers gather all the ingredients, put all the right amounts in and bake it for just the right amount of time. Then they hand it over to the Accountant. The Accountant then creates those finite details and sugar work that really bring the cake together and show what the cake is all about. We often find that Accountants don't enjoy the Bookkeeping part all that much and so we work with lots of Accountants to support them. Bookkeepers make sure everything is coded correctly, reconciled, that everyone is paid correctly (and on time), and much more. We're not always noticed, but we're always there. Often we find that people are quick to dimiss the work of a Bookkeeper as "easy", well it isn't. It's easy to do it wrong.

Sage and Xero both have impressive software and their own place in the market. We see them as the King and Queen of the Accounts Software World (the King and Queen being equals here). Both Xero, Sage 50, and Sage One all have features that many of our clients find essential to the day-to-day running of their business. We're strong believers that there isn't a "one-fits-all" solution to bookkeeping and so we recommend software based on the needs of each individual. We have clients who have moved from Sage 50 to Xero, from Xero to Sage One and other combinations. It's about what works for you as a business. The first thing to think about is the kind of software you are using. If you're using a software that isn't on the cloud then your processes will likely take longer. If you're not sure what cloud accounting is please refer to our other FAQ's. The second thing you could do is either undergo training to teach you tried and tested methods (we can provide this service). If Bookkeeping isn't your bag and you don't enjoy it then the other alternative is to take on a Bookkeeper. We love what we do!

Having the right software can make all the difference. Sometimes you have can use a truly brilliant piece of software but if it's not right for your business it's like putting a round peg in a square hole.
