Cloud Accounting is a way to store all of your accounts in a safe place on the internet. You can access your accounts anywhere with an internet connection. This doesn't mean just anyone can access them, they are password protected and are not publically accessible. "The Cloud" is a term that is used to describe the internet, particularly when talking about storing things. Essentially it's like being able to carry all the files in your office in a giant safe and being able to look at them whenever you like. It not only helps the environment (because you don't have to print nearly as much) but it helps you to forecast easier, pay people easier and much more. You can read more about this in our blog. Bookkeepers very much have their finger on the pulse when it comes to the day-to-day running of the company’s finances. They ensure paperwork such as receipts; time sheets; invoices; bank statements; and other important documents, are gathered and processed in the correct way. Bookkeepers also tend to do payroll; Accountants generally prefer not to. Accountants tend to focus on the bigger picture tasks. They do auditing, tax returns, and ensure everything is submitted to HMRC as it should be. They’re often experts in tax and so can provide clients with tax planning services. There are multiple ways you can learn how to use Xero. First things first, you need a Xero trial. This is something we can assist you with if you're not sure what to do. The brilliant part of the trial is that it contains demo data so you can't "break it" or "mess up" because it doesn't matter. The next stage we would recommend is to undertake training. It's one thing to learn how it works but if you don't understand why something goes where it does it can cause you problems before you've even properly begun. We have a range of webinars available. We can also provide 1-2-1 online training. Xero also have a range of videos on their website and they have their own accreditation programme. Please do be wary that being Xero Accredited does not necessarily give you all the practical skills you need. Sage and Xero both have impressive software and their own place in the market. We're strong believers that there isn't a "one-fits-all" solution to bookkeeping and so we recommend software based on the needs of each individual business. Although they are popular names in the industry they aren't the only accounting software package out there. Quickbooks online being another great competitor. Sometimes it's down to personal experience too. Some people prefer the way Sage looks and feels, some people prefer Xero or don't like either. The first thing to think about is the kind of software you are using. If you're using a software that isn't on the cloud then your processes will likely take longer. If you're not sure what cloud accounting is please refer to our other FAQ's. The second thing you could do is either undergo training to teach you tried and tested methods (we can provide this service). If Bookkeeping isn't your bag and you don't enjoy it then the other alternative is to take on a Bookkeeper. We love what we do!
